Applying a Refund when the Invoice was Paid with Square

You may need to apply a refund for an Invoice that was paid with Square.  You will first need to adjust the invoice in SOAP Vault and then apply a refund in Square.

 

Step One: Make Adjustments in SOAP Vault

There are 3 primary ways in which you can issue a refund

Method One: From the Billing Activities page

  1. Click on the Money Icon (Billings Activity) in the left navigation
  2. Click on the Invoice (for example, INV-3)
  3. Click on the Black Triangle next to the Edit button
  4. Click on Refund
  5. Enter the Amount of the refund and select the Refund Method
  6. Click Refund

Method Two: From the Clinic Patient Profile page

  1. Click on the Patient's name
  2. Click on the Billing tab
  3. Click on the Invoice (for example, INV-3)
  4. Click on the Black Triangle next to the Edit button
  5. Click on Refund
  6. Enter the Amount of the refund and select the Refund Method
  7. Click Refund

Method Three: From an Appointment

  1. Click on an Appointment form the calendar
  2. Click on the Invoice (for example, INV-3)
  3. Click on the Black Triangle next to the Edit button
  4. Click on Refund
  5. Enter the Amount of the refund and select the Refund Method
  6. Click Refund

 

Step Two:  Apply a Refund in Square

  1. Login into your Square account
  2. Click on Transactions
  3. Select the Invoice
  4. Click Issue Refund
  5. Select Amount
  6. Enter the Amount
  7. Click Next
  8. Select Reason for Refund
  9. Click Refund
